Revamped Demo Request Form for REVE Chat

Problem Statement

REVE Chat has a product demo that the sales team created for meeting with clients and giving a demonstration of the REVE Chat product. So, when any client wants to request a demonstration, they usually need to fill out some information and specify the demo request date and time.

However, the existing demo request form has a somewhat outdated and flat design. Therefore, I was assigned to improve the user experience of the existing form.

Problem with the existing form

The existing form is somewhat flat, and when a user wants to set a demo request time and date, it’s crucial for them. However, in REVE Chat’s existing demo form, this field receives less priority, and the form follows an old-style design that lacks engagement in terms of usability and visual appeal.

Let’s assume a user wants to request a demo, but their schedule is tight. In the current design, the user selects their name, mobile number, and email first, and then chooses a time slot and date. If they find that the selected date or time doesn’t match their schedule, it can be frustrating. They invest time and mental effort in filling out the form, only to realize they can’t select a suitable schedule.

Moreover, after filling out the form, users don’t receive any visual confirmation of a successful booking. This lack of feedback can leave them confused about whether they’ve successfully booked the demo or not

Prioritizing the date and time selection in the demo request process makes perfect sense, especially considering the busy schedules typical of B2B businesses. By placing the time and date selection upfront in the form, users can immediately check their schedules and determine if the proposed demo time works for them. This approach not only streamlines the process but also enhances the user experience by making it easier for clients to schedule a demo at their convenience, thereby leaving a positive impression of REVE Chat’s responsiveness and customer-centric approach.

After the user selects a date, displaying a side card to confirm the selected date is a great way to provide feedback and ensure clarity. Additionally, allowing users to then select from available time slots, with the typical sales colleague offering 30 demonstrations, further streamlines the process and ensures that users can easily find a time that works for them. This approach not only improves usability but also adds a layer of convenience for users, making it more likely for them to proceed with scheduling a demo.

Having a “Next Step” call-to-action (CTA) become active after the user selects a time slot is a logical progression in the user journey. This feature ensures that users can proceed smoothly once they’ve made their selection, guiding them towards the next necessary action with clear direction. This approach maintains the flow of the process and encourages users to move forward, ultimately increasing the likelihood of successfully scheduling a demo.

After selecting a time slot and activating the “Next Step” CTA, users can proceed to fill out the necessary information required for lead generation. This could include details such as their name, email address, company name, and any specific requirements they might have for the demo. Once all required information is provided, users can finalize the scheduling by clicking on a “Schedule Demo” button or similar CTA. This streamlined process ensures that users can smoothly transition from selecting a time slot to providing their information and ultimately scheduling the demo, creating a seamless user experience.

After the user selects the “Schedule Demo” button, a success message will appear, displaying the meeting duration, date, and time, along with a personal message stating, “One of our Product Experts will contact you soon.” This message reassures users that their demo request has been successfully scheduled and that they can expect further contact from the REVE Chat team.

To further assist users in remembering their scheduled demo, a CTA button can be added to allow them to easily add the demo date and time to their calendar. This feature reduces the burden on users to remember the meeting details and enhances their overall experience by providing a convenient reminder system.
